How to sync your Interactive Brokers account with Tradervana

Connecting Interactive Brokers pulls your trade history into Tradervana and keeps it in sync automatically — no CSV exports, no manual entry. IBKR doesn't offer a one-click login the way Tradovate does; instead it uses its own Flex Query reporting system, so setup means creating one or two report templates and a token inside IBKR's own site first, then pasting them into Tradervana. It takes a few more minutes than our other broker connections, but it's free and doesn't require anyone's approval.
There are two Flex Query types, and they cover different things:
- Activity Flex Query (required) — your full trade history, as far back as you configure it. Only refreshes once a day on IBKR's own schedule, so a trade placed today typically won't show up until tonight.
- Trade Confirmation Flex Query (optional, recommended) — reflects today's fills much sooner. IBKR locks its date range to "Today" only, so it can't replace the Activity query, just supplement it.
Set up the Activity one at minimum; add the Trade Confirmation one too if you don't want to wait until the next day to see today's trades.
This integration is in beta. It's built to IBKR's published Flex Web Service API but we haven't been able to verify it end-to-end against a live funded account yet. It should just work — but if a symbol, fee, or P&L looks off after your first sync, tell us and we'll get it dialed in quickly.
Before you start
- Broker sync is a Pro feature. On the free plan you can still import an IBKR CSV by hand; auto-sync needs Pro.
- Works on paper accounts too. Flex Query is fully functional on every IBKR account type, including paper trading — no live/funded account or minimum balance required to test the connection.
- There's no "since" cursor. Unlike Tradovate/TopstepX, IBKR's Flex Query always returns whatever date range the query itself is configured for — Tradervana can't ask it for "just anything new." Set the Activity query's range generously (see step 4 below) so a sync can actually reach your full history; add the Trade Confirmation query too if you want same-day trades without waiting on Activity's once-daily refresh.
Create your Activity Flex Query
- Log in to IBKR's Client Portal and open Reports (or Performance & Statements) → Flex Queries → Create an Activity Flex Query.
- Give it a Query Name, then under Sections, check Trades. Click into it — it opens a field picker with Execution already selected as the view (not "Symbol Summary," which would collapse multiple fills into one row and lose the per-trade detail Tradervana needs — you don't need to change anything here, just confirm it). While this window is open, check these fields — listed in the order they actually appear in the picker, top to bottom, so you can go straight down the list instead of hunting around: Account ID, Symbol, Trade ID, Date/Time, Quantity, TradePrice, IB Commission, Buy/Sell, IB Execution ID. (There's no separate "Trade Time" field — "Date/Time" is the one combined field that carries the actual execution time; "Trade Date" alone isn't enough.)
- Leave the Filters → Symbols section empty — don't click "Add Symbol." That filter (and its "Include Derivatives" checkbox, which only applies to whatever symbol you'd add there) is for narrowing the report to specific instruments. With no filter at all, nothing is excluded, so your futures/options trades come through along with everything else.
- Under Delivery Configuration, set Format to XML and set Period to "Last 365 Calendar Days" (or wider) instead of the default "Last Business Day" — almost never what you want. This is the hard ceiling on how far back any future sync can ever reach, so err wide.
- Under General Configuration, leave Date Format as
yyyyMMddand Time Format asHHmmss(the defaults) — Tradervana's parser expects exactly these. - Save the query. Back on the Flex Queries list, click the ⓘ icon next to the query you just created to open its details — your Query ID is shown at the top of that panel.
Create a Trade Confirmation Flex Query (optional, recommended)
Skip this section if you're fine waiting until the next day to see new trades — the Activity query above is all you need. Otherwise:
- Back in Flex Queries, click Create a Trade Confirmation Flex Query instead of Activity this time.
- Give it a Query Name, then under Sections, check Trade Confirmation. Click into it — confirm Execution is selected as the view, then check these fields (same order they appear in the picker): Symbol, Trade ID, Exec ID, Date/Time, Buy/Sell, Quantity, Price, Commission. Note the field names here are slightly different from the Activity query's (Exec ID instead of "IB Execution ID," Price instead of "TradePrice," Commission instead of "IB Commission") — that's expected, it's a different report type.
- Leave Filters → Symbols empty, same reasoning as the Activity query.
- Under Delivery Configuration, set Format to XML. Period will be locked to "Today" and can't be changed — that's not a bug, it's inherent to this query type.
- Save the query and grab its Query ID the same way (the ⓘ icon on the Flex Queries list).
Enable the Flex Web Service and get a token
- Still in Client Portal, go to Performance & Reports → Flex Queries.
- Under Flex Web Service Configuration, click the Configure (gear) icon.
- Check the box to enable Flex Web Service Status, then Save.
- Once saved, your Token is shown as part of your Service Credentials. Treat it like a password — anyone with it can read your account's trade history. You can return to this same page to regenerate it at any time, which revokes the old one.
Connect
- In Tradervana's sidebar, open Broker Sync.
- In the Connect Interactive Brokers card, fill in:
- Label — how the connection shows in Tradervana (e.g. "IBKR").
- Activity Flex Query ID — from the Activity query you created above.
- Trade Confirmation Query ID — optional; leave blank if you skipped that section.
- Flex Web Service token — the token you generated (same token works for both queries).
- Start date — optional; this can never reach further back than your Activity query's own configured date range, whatever you set here.
- Click Connect Interactive Brokers. The first sync starts right away.
The connection shows a Beta tag while this integration is still being verified.
What happens after you connect
Each sync asks IBKR to generate the Activity report (a short delay — this isn't an instant lookup, Tradervana polls until it's ready) and, if you added one, the Trade Confirmation report too — pulling in whatever trades fall inside each one's range. The two are merged automatically; a trade that shows up in Trade Confirmation today and later appears in that night's Activity report doesn't get duplicated. Already-synced trades are updated in place, never duplicated, so re-syncing repeatedly is always safe.
If the Activity report comes back "Statement is incomplete at this time," that's IBKR telling you its once-daily generation hasn't finished yet — not an error on Tradervana's end. If you also have a Trade Confirmation query connected, that sync still goes through fine; only the Activity half is delayed.
Updating your token
Flex Query connections are token-based, so there's no in-app "reconnect" button. If your sync stops working — the token was regenerated, revoked, or Flex Web Service access lapsed — remove the connection on the Broker Sync page and add it again with the current token and Query ID.
Your already-synced trades, notes, and tags stay exactly where they are.
What Tradervana can and can't do
- Access is read-only — the token only fetches your trade history via a report you configured. It can't place trades, move funds, or change anything on your account.
- The token is stored encrypted. Remove the connection here to stop using it, and regenerate it in IBKR's Client Portal to kill it entirely.
Troubleshooting
"Interactive Brokers rejected the Flex Query request." The token or Query ID is wrong, or Flex Web Service access isn't enabled. Double-check both values in Client Portal, remove the connection here, and add it again.
A sync doesn't reach as far back as expected. This is almost always the Flex Query's own configured date range, not Tradervana — widen the date period on the query itself in IBKR's Account Management.
A symbol, fee, or P&L looks wrong. This is the part most likely to need a tweak while the integration is in beta. Contact support with the trade and what looks off, and we'll fix the mapping.
Prefer to import a file?
Every plan can import an IBKR CSV — use Add trades → Import a CSV on the Trades page. Auto-sync just saves you doing it repeatedly.
