Prop firm payout tracker: see what you actually took home

Your first payout feels like proof the plan is working. But a payout isn't profit. Behind it there's usually a stack of evaluation purchases, a reset or two, an activation fee, monthly data fees, and maybe a few accounts that never made it. Most prop traders couldn't tell you their real net across firms within a few hundred dollars, because the costs are spread across card statements and the payouts are spread across firm dashboards.

Payout ≠ profit
Every prop firm shows you the payouts. None of them shows you what you've spent at their competitors, or even a clear running total of what you've spent with them. To know whether prop trading is actually paying you, you need to track:
- Evaluation purchases. Every challenge or Combine you bought, passed or not.
- Resets. Paying to restart a failed or struggling evaluation. (Is a reset worth it? See reset vs. new evaluation.)
- Activation fees. The one-time fee some firms charge when you pass.
- Data fees. Monthly market data charges on funded accounts.
- Other costs, such as platform add-ons, and more.
Then set the payouts against them. That number, not the size of your last payout, tells you whether to scale up, change firms or change approach.
How it works

Set costs once on a prop rule set. In Tradervana, each firm's limits live in a rule set that you attach to your accounts. Add that firm's evaluation price, activation fee, reset fee and monthly data fee to the rule set once. Attaching it to an evaluation account logs the evaluation price, attaching it to a funded account logs the activation fee (once per account, so swapping rule sets later doesn't stack a second entry), and the monthly data fee is logged automatically on the 1st of each month. A one-tap “Log reset” button on the account uses the rule set's reset fee. No retyping the same price for every new account.

Log one-offs and payouts as they happen. Add, edit or delete any cost or payout on the Payouts page. A cost can be an eval fee, reset, activation, data fee or other, with a date and an optional note. Record each payout as it lands, with its status (requested, paid or denied). You can log costs and payouts on any account, even one with no rule set attached. The ledger filters by time, firm and cost type.

Read your real net. The top of the page shows three numbers: Spent, Taken home and Net. Below them, a Costs by type card and a Net by account breakdown (with each account's rule set underneath) show which accounts are paying you and which are just taking fees. Costs are grouped by the rule set's name, so name your rule sets by firm (for example “Topstep Standard 50K”) to read the ledger by firm.

These are made-up numbers for illustration only. They aren't real firm prices or real results.
A trader runs accounts at two firms over a few months:

- Firm A: Spent $820 · Taken home $1,600 · Net +$780

That trader has “$2,100 in payouts,” but the real result is $480, and all of it is coming from Firm A. Firm B is a cost center. That's exactly the insight that gets lost when costs live on a credit card statement.
