How to sync your TopstepX account with Tradervana

Connecting TopstepX pulls your full trade history into Tradervana and keeps new trades flowing in automatically — no CSV exports, no manual entry. It uses TopstepX's own API, so setup is a matter of pasting in a key rather than a browser login.
This integration is in beta. It's built to TopstepX's published API (the ProjectX Gateway) but we haven't been able to verify it end-to-end against a live funded account yet. It should just work — but if a symbol, fee, or P&L looks off after your first sync, tell us and we'll get it dialed in quickly.
Before you start
- Broker sync is a Pro feature. On the free plan you can still import a TopstepX CSV by hand; auto-sync needs Pro.
- You need TopstepX API access. It's an add-on you enable inside TopstepX, and it requires an active paid account (a combine or a funded account) — the free practice account on its own can't generate a key.
- This is for the TopstepX platform, not a Topstep account that trades on Tradovate. If your Topstep account runs on Tradovate, use the Tradovate guide instead.
Get your API key
- Log in to TopstepX and open your account settings.
- Find the API (or API Keys) section and enable API access if it isn't already.
- Generate a new key and copy it. Treat it like a password — anyone with it can read your account data. You can revoke it from the same screen at any time.
You'll also need the username you log in to TopstepX with.
Connect
- In the sidebar, open Broker Sync.
- In the Connect TopstepX card, fill in:
- Label — how the connection shows in Tradervana (e.g. "TopstepX").
- TopstepX username — your login name.
- API key — the key you just generated.
- Start date — optional; leave it blank to import your whole history.
- Click Connect TopstepX. The first sync starts right away.
The connection shows a Beta tag while this integration is still being verified.
What happens after you connect
The first sync is a full backfill, so it can take a few minutes if you have a long history or several accounts. You don't need to wait on the page — it keeps running in the background and picks up where it left off if a large backfill doesn't finish in one pass.
After that, syncs are incremental and run automatically as you use the app, with a daily catch-up as a backstop. You can force one anytime with Sync now on the dashboard or the Broker Sync page.
Each TopstepX account becomes its own account in Tradervana, with real fees applied and fills matched flat-to-flat into round-trip trades.
Multiple accounts
One API key covers every account on your TopstepX login — you don't add a separate connection per account. Once synced, use the account filter in the top-right of the dashboard and Trades pages to switch between them, and set each account's rules under Accounts.
Updating your key
TopstepX connections are key-based, so there's no in-app "reconnect" button. If your key stops working — you revoked it, it expired, or API access lapsed with your account — remove the connection on the Broker Sync page and add it again with a fresh key.
Your already-synced trades, notes, and tags stay exactly where they are. Re-adding the same accounts updates those trades in place; nothing re-imports or duplicates.
What Tradervana can and can't do
- Access is read-only — the key only fetches your trade history. It can't place trades, move funds, or change anything on your account.
- The key is stored encrypted. Remove the connection here to stop using it, and revoke it in TopstepX to kill it entirely.
Troubleshooting
"TopstepX rejected the API key." The key is wrong, expired, or API access isn't active on your account. Generate a fresh key in TopstepX, remove the connection here, and add it again.
A symbol, fee, or P&L looks wrong. This is the part most likely to need a tweak while the integration is in beta — contract codes especially. Contact support with the trade and what looks off, and we'll fix the mapping.
An account isn't showing up. Make sure it's active in TopstepX, then hit Sync now. A brand-new account can take one sync cycle to appear.
A prop-firm account disappeared after a reset or breach. When TopstepX removes an account it drops off the API and Tradervana flags it on the Accounts page. Your trades from it stay in your history — classify the account there as passed, breached, or reset.
Prefer to import a file?
Every plan can import a TopstepX CSV — use Add trades → Import a CSV on the Trades page. Auto-sync just saves you doing it repeatedly.
Connect TopstepX, save your firm's limits as a rule set, and Tradervana shows your live distance-to-breach, drawdown room, and profit-target progress on every account — updated as you trade.
